Warranty receipt checklist

A receipt is most useful when you can read it, match it to the product and find it later. Use these five steps after a purchase, while the details are still easy to check.

1. Keep readable original proof

Photograph the whole receipt with the paper flat, the text in focus and no glare covering the details. Check the saved photo at full size: can you read the shop, purchase date, item description, total and any receipt or order number? Keep every relevant page and retain the original document if you have it.

2. Check the scanned values before filing

On-device text recognition is a head start, not a verification service. Compare the proposed shop, date, total and currency with the original. Look closely at similar characters, decimal points and ambiguous dates such as 03/04. A blank or flagged field needs your input; do not fill it with a guess.

If the figures do not add up, check which numbers are the subtotal, tax and final total. Correct the receipt details before filing, and add a note that will help you find the purchase later.

3. Confirm each date from the actual terms

Record the purchase date, retailer's return deadline, manufacturer's warranty expiry and any extended-cover date separately. Check the receipt, order confirmation and supplied terms rather than assuming every purchase has the same return window or warranty length.

4. Keep the product and claim story together

Add a product photo, serial number or barcode when it helps identify the exact item. Record dated issue, repair and claim notes, including whom you contacted and what happened. Keep relevant correspondence somewhere you can retrieve it alongside the purchase proof.

When sharing evidence, check that the recipient can open it and that the pages are readable. Individual receipt and warranty claim PDFs are Free. A claim packet can include the warranty details and attached proof; creating a file or opening the share sheet does not prove that it reached the recipient.

5. Back up before changing phones

Receipt Warden is local-only, with no receipt account or automatic cloud sync. Before replacing or resetting your phone, or uninstalling the app, save a copy you can access without that device. Restoring purchases recovers paid access, not your receipt records.

Pro can create a full collection backup; restoring an existing backup is Free. A date-selected export is only part of the collection: it excludes undated receipts and standalone warranties. Backup photos are compressed copies, while originals on the source phone stay unchanged. Check that your saved copy is readable before removing anything.

Automatic local backups are unencrypted ZIP files, and a copy on the same phone can be lost with it. Manual password-protected exports use a separate encrypted format. Keep the password safely: Receipt Warden does not store it and cannot recover it. If you share a backup to another app, verify that the receiving app actually saved the file.
